Privacy Policy - 01/02/2026
This Privacy Policy explains how The Podium Collective (“we,” “us,” or “our”) collects, uses and protects your personal information when you visit our website (“Site”) or work with us. Our services include operations consulting, business systems setup, website & funnel design, automation, AI workflow integration, and financial management support. For platform features, we may help you access third-party software under our management.
1.0 INFORMATION WE COLLECT
We collect contact details you give us when you sign up or get in touch, such as your name, email, phone number and postal address. We may also collect your date of birth to confirm you are 18 or over.
We collect basic account and subscription details so we can manage your membership, including plan type, billing status and login activity.
Payments are processed by Stripe. Your card details are handled securely by Stripe and are not stored on our site.
We use standard website analytics to understand how people use our site and members portal (for example IP address, browser or device type, pages visited and time spent).
2.0 USE OF INFORMATION
We use your information to create and manage your account, deliver our racing education content, and run the members community portal.
We also use it to process payments, send service emails (for example billing notices and access issues), answer questions, and improve our content and website over time.
Where required, we use and store information to meet our legal, tax and accounting obligations.
3.0 EMAILS AND MARKETING
We send you essential service emails about your account, subscription, billing and important changes. You cannot opt out of these while you remain a member, because they are necessary to run the service.
We may also send optional updates and marketing, such as new content, offers or product news. You can opt out of these at any time by using the unsubscribe link in our emails or by contacting us.
4.0 THIRD‑PARTY TOOLS & PROVIDERS
We use trusted third‑party providers to help us run the service. This may include:
- Stripe for subscription billing
- Platform and hosting providers for the members community portal
- Email and communication services for newsletters and updates
- Analytics tools to understand how people use our site
These providers process your information under their own privacy policies as well as our instructions. We are not responsible for their independent security or privacy practices, but we aim to work only with reputable providers.
5.0 SHARING OF INFORMATION
We do not sell your personal information.
We may share your information with service providers where needed to deliver our services, with advisers such as accountants or lawyers where reasonably necessary for our business, and with government agencies or regulators if we are legally required to do so.
We may also share information if needed to investigate or respond to misuse of our services, security issues or legal claims.
6.0 COOKIES & TRACKING
We use standard cookies and similar technologies to keep you logged in, remember basic preferences, and help analyse how visitors use our site so we can improve it.
You can disable cookies in your browser settings, but some parts of the site or members portal may not work properly without them.
7.0 DATA SECURITY
We take reasonable steps, including technical and organisational measures, to protect your personal information from unauthorised access, loss or misuse.
However, transmission of information over the internet is never completely secure. We cannot guarantee absolute security of your information, but we aim to protect it to a sensible and proportionate standard.
If we become aware of a serious data breach that is likely to cause harm, we will let you know and contact any relevant regulator where required by law.
8.0 DATA RETENTION
We keep personal information only as long as needed for service delivery, business records and legal compliance.
When information is no longer required, we take reasonable steps to delete it or de‑identify it.
9.0 INTERNATIONAL ACCESS & TRANSFERS
Our main team is based in New Zealand, but we may use service providers and infrastructure located in other countries, including Australia and the United States.
By using the site or members portal, you agree that your information may be stored and processed in these locations. We take reasonable steps to ensure overseas providers handle your information securely, but their local laws may be different from those in your country.
10.0 YOUR RIGHTS & CHOICES
You can ask us to access or update the personal information we hold about you. In some cases you can also ask us to delete it, subject to any legal retention requirements.
You can opt out of marketing emails at any time by using the unsubscribe link or by contacting us.
Depending on where you live (for example New Zealand, Australia or the EU/UK), you may have additional privacy rights. Your local privacy regulator’s website explains these in more detail.
11.0 COMPLAINTS
If you have concerns about how we handle your information, please contact us first so we can try to resolve the issue.
If you are in New Zealand, you can also contact the Office of the Privacy Commissioner at privacy.org.nz. If you are in Australia, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
12.0 CHANGES
We may update this Privacy Policy from time to time. When we do, we will update the “Effective Date” at the top and, where the changes are material, we will take reasonable steps to let you know.
Your continued use of our site or services after any changes means you accept the updated Policy.
